In/Out-processing Assistant

EXPERIENCE AND EDUCATION:
Essential Qualifications/Experience:
· High school diploma or equivalent; additional certification in office administration or related field is a plus
· Proven experience in an administrative or clerical role, preferably in a human resources or onboarding/off boarding setting
· Previous experience in NATO or National Armed Forces in a similar role to understand the military and civilian status and procedures
· Proficiency in using Microsoft Office suite (Word, Excel, PowerPoint) and other relevant software applications
· Familiarity with APMS or other database systems (EBA) for data entry and maintenance.
· Discretion in handling confidential and sensitive information
DUTIES/ROLE:
· Assist in the coordination and execution of the in-processing and out-processing of the newcomers/leavers in SHAPE, including gathering and organizing necessary paperwork, forms, and documents such as, vehicle registration and ID issuance
· Enter and maintain accurate employee information in HR Systems such as APMS and Oracle (EBA) databases
· Provide administrative support to the Registration Office, including scheduling meetings, managing calendars, and maintaining electronic and physical filing systems
· Respond to inquiries from new employees/leavers regarding the onboarding/off-boarding process, policies, and procedures, providing timely and accurate information
· Maintain confidentiality and handle sensitive employee information in a professional and discreet manner
